How we handle your information at our shop

Look, we get it - privacy policies can be a drag to read through. But here's the deal: we're a small shop that works on your rides, and we take your trust seriously. This isn't some corporate legal mumbo-jumbo. We're gonna be straight with you about what info we collect, why we need it, and what we do with it. When you bring your European ride into our shop, we're gonna need some basics to keep things running smooth:

  • Your contact details - name, phone number, email. Pretty standard stuff so we can reach you when your car's ready or if we find something unexpected under the hood.
  • Vehicle information - VIN, make, model, year, mileage. Can't tune what we don't know, right? Plus this helps us track service history.
  • Service records - what we've done, parts we've installed, diagnostics we've run. This is gold for figuring out patterns or remembering that weird quirk your BMW has.
  • Payment info - though our processor handles the sensitive stuff. We just keep records of what you paid and when.
  • Appointment details - when you're coming in, what needs doing, any special requests you've mentioned.

We're not collecting anything weird or unnecessary. Just what we need to fix your car properly and keep our records straight.

Here's where your info goes and why it matters:

  • Service delivery - obviously, we use it to actually work on your vehicle. Can't do much without knowing what car you drive and what's wrong with it.
  • Communication - calling or emailing you about your appointment, sending reminders, letting you know about that weird oil leak we found, or following up after service.
  • Maintenance tracking - keeping tabs on when you're due for service helps us remind you before something breaks. Nobody wants a snapped timing belt.
  • Improving our services - looking at patterns helps us stock the right parts and get better at diagnosing common issues with European models.
  • Legal compliance - yeah, there's some paperwork we gotta keep for tax and business reasons. Can't avoid that one.

We might occasionally send you info about seasonal maintenance or special offers, but it won't be constant spam. And you can always tell us to knock it off.

We're NOT selling your data to marketing companies or sharing it with random third parties. That's just not how we roll.

We're pretty protective of your data, but there are a few situations where we might need to share some details:

  • Parts suppliers - sometimes we need to verify warranty info or order specific parts for your vehicle. They'll get your VIN and basic vehicle details.
  • Payment processors - when you pay by card, that info goes through secure payment systems. We don't actually see or store your full card numbers.
  • Diagnostic tool providers - for those advanced computer diagnostics, some data might sync with manufacturer databases to pull the latest technical info.
  • Insurance companies - only if YOU ask us to provide documentation for a claim. We're not volunteering anything.

That's basically it. We're not in the business of chatting about your car to random folks.

Security's important to us, even if we're not some huge corporation with a massive IT department. Here's what we do:

  • Digital security - our computer systems are password-protected, and we use secure connections for online stuff. Basic but effective.
  • Physical security - paper records with your info are locked up when we're not using them. Office gets locked at night.
  • Limited access - only our staff who actually need your info to do their job can see it. The guy changing oil doesn't need your credit card history.

We hang onto your information for as long as it's useful, which depends on what we're talking about:

  • Service records - we keep these pretty much indefinitely because they're super valuable for tracking your vehicle's history. If you come back in 5 years, we wanna know what we did before.
  • Contact info - as long as you're an active customer or until you tell us to delete it.
  • Financial records - tax laws require we keep these for at least 7 years. Not our rule, that's just how accounting works.
  • Marketing communications - if you unsubscribe, we'll stop sending stuff but might keep your email in our "do not contact" list so we don't accidentally add you back.

If you want us to delete your info (and we're legally allowed to), just ask. We'll take care of it.

It's your data, so you've got some say in what happens with it:

  • Access - wanna see what info we have on you? Just ask and we'll show you.
  • Corrections - if something's wrong (like we've got your old phone number), let us know and we'll fix it.
  • Deletion - you can request we delete your data, though we might need to keep some stuff for legal reasons.
  • Marketing opt-out - don't wanna hear from us about promotions? No problem, just tell us to stop.
  • Complaints - if you think we've messed up with your privacy, you can file a complaint with the Privacy Commissioner of Canada.
